Minutes of AGM Heanor Clarion Cycling Club
Meeting held at Heanor Miners Welfare Monday 15th December 2008, 8pm.

Attendees:
John Gott, Don Flint, Mary Gill, Ana Gill, Matt Hall, Kath Leese, Peter Roughton, David Gascoyne, Rob Parkin, Fred Parkin and Andy Turner.
Apologies:
Derek Gascoyne, Steven Palmer, Mac Lambert (Snr + Jnr).

There were no previous minutes from last years meeting to approve so meeting opened with reports from committee.

Chairman:
Don Flint opened meeting with a brief tribute to John Leese, who had sadly passed away during the year, thanking him for the contribution he had made to the club.
Don thanked all the committee members, promoters and marshalls for their efforts during the year.
The Junior section of the club is buoyant and membership wise we are in a healthy position.
He felt that the club was in a good position to continue moving forward as it has been over the past few years.

Secretary:
John Gott stated that current membership was as follows:
54 total members (36 Senior, 11 Junior and 7 social). Membership reminders have been sent out.
However it was noted that not all the Junior members had completed the membership forms which are required to keep accurate records. Mary Gill offered to help chase this up.
The no’s competing in the Tuesday TT have been declining over the past few years. The current course is no longer useable due to new traffic lights on the course. A discussion was held about various options available from using the A38 to making the course more a sporting course.
General opinion was the that the A38 option was not feasible and that the committee would consider the suggestions made eg variation on the Awsworth bypass running clockwise or anti-clockwise, possibly using Sandy lane/Brackley Gate circuit, or using a combination of all. The final course is still to be decided.
The fee for the TT would remain @ £1.00.

Treasurer:
Peter Roughton issued prepared accounts for all to see and answered questions on 10mTT.
Some monies were still due from catering at the TT events, Peter liaising with Anne TW on this issue.
Club was in a stable financial position.
Levies are outstanding for the Tuesday TT – John G and Peter R to resolve this issue.
Affiliation fee was due for CTT – John G to sort this out.

Website:
Mary Gill reported that the site had 8453 hits and remained a focal point for the club.

Social:
Kath Leese had nothing to report except to remind all that the Trophy presentation was Friday 23rd January at HMW. She would look at inviting local papers to cover the event.

Racing:
Rob Parkin had nothing  to report but he confirmed when questioned that all racing licences handed out were  to current paid up members only.

Clothing:
Matt Hall had nothing to report but wished to resign from this position.

Election of Officers:
All current officers agreed to continue with their responsibilities.
The clothing secretary position was to be filled. Rob Parkin agreed to take this on and Matt Hall agreed to lend his support if needed.
The remaining position to be filled is that of President. Don Flint suggested Derek Gascoyne which was unopposed, however as Derek was not present at the meeting, Don F agreed to approach the subject with him.

2009 Events:
Time Trialling:
10m Open TT – A10/19 - 6/6/09 - First rider off 18.01 HQ – Hilton Village Hall (booked from 16.00 – 21.00hrs) – J Gott
25m Open TT – A25/10  - 1/8/09 - First rider off 14.01 HQ – Hilton Village Hall (booked from 12.00 – 19.00 hrs) – J Gott
Cyclo-Cross – 12/9/09 (TBC) – Shipley Park – HQ Shipley Cricket Club – M Hall
Summer CX – 4 events May – August (dates TBC) – Shipley Park – D Flint
3 Trails – 15/8/09 HQ Matlock Rugby Club – D Flint/Peter Roughton - Discussion about lack of entrants and whether event lacked publicity. Peter R and Don F convinced that this event can still “take off”. It was decided to have one more attempt at running this event .
Circuit races – 4 events to be held on former American Adventure Car Park - General discussion about state of course and amount of work required to clear course of debris. Suggestion made about making event into a mini league to encourage more participation. Discussion about sponsorship, Mary G would make some preliminary enquiries from contacts she had for funding ie EMDA. Final decision on feasibility and possible dates still to be made.

AOB:
John Gott imformed meeting that the National Clarion Easter Meet to be held at Ramsbottom in Lancashire.

Meeting closed @ 9.25pm.
